The Key Steps in the Benchmarking Process 

1. Identify What to Benchmark

Questions to consider: 

  • What are our biggest challenges or weaknesses? 
  • Which processes are most important to our customers? 
  • Where do we see the most opportunity for growth? 

2. Select Benchmarking Partners or Targets 

Decide who or what you will compare against. This could include: 

  • Internal teams or departments (internal benchmarking) 
  • Direct competitors (competitive benchmarking) 
  • Industry leaders or organizations outside your industry (functional or generic benchmarking) 

3. Collect Data 

Gather relevant data and information on both your own performance and that of your benchmarking partners. Data can be quantitative (e.g., cost, time, output) or qualitative (e.g., customer feedback, best practices). 

Tips: 

  • Use a mix of sources: internal records, public reports, interviews, surveys, and industry studies. 
  • Ensure your data is accurate, comparable, and up-to-date. 

4. Analyze the Data and Identify Gaps 

Compare your performance data to that of your benchmarks. Look for gaps between your results and those of the best performers. Analyze the reasons behind these differences—are they due to process, technology, resources, or other factors? 

Key questions: 

  • Where are we ahead? Where are we behind? 
  • What are the critical drivers of superior performance in the benchmark organizations?
